Terms and conditions of sale and delivery

Below you will find useful information about using online booking and purchasing tickets. You can read about how we process the information you enter, how you receive your receipt in connection with a purchase and much more. When we write HVIDBJERG STRAND in the following, it is used as a synonym for Hvidbjerg Strand Holiday Park.

Please note that your booking and purchase of tickets is not covered by the Consumer Contracts Act's rules on the right of cancellation. The sale of accommodation (cabins, holiday homes, camping etc.) is covered by a special exception in the Consumer Contracts Act, prgf 18 (2) no 12. The booking made is thus not covered by a 14-day right of cancellation. The reason for this is that re-rental of a reserved cabin/apartment/site that is cancelled a few days before arrival will often not be possible.

Ordering and payment

If you buy tickets or book a stay with your own caravan/tent/camper van or stay in a cabin, hotel apartment or beach villa, the full amount is payable immediately after the booking is made.

Immediately after receiving your order, Hvidbjerg Strand Feriepark will send you a rental voucher/order confirmation by email. If you do not receive an e-mail with your rental voucher/order confirmation, please check your spam and/or junk mail.

Rental voucher/order confirmation check

Upon receipt of the rental certificate/order confirmation, it is the responsibility of the lessee/buyer to ensure that the period and unit selected is correct.

Cancellation

(without purchase of Cancellation Protection)

Cancellation of paid stays where no cancellation protection has been purchased will not result in a return of the paid amount.

Tickets purchased for events such as GirlWellness, WesternNights etc. or dining cannot be cancelled.

Cancellation protection

We recommend that you purchase our Cancellation Protection when you book a stay at Hvidbjerg Strand Feriepark. This way you are protected if you need to cancel your booking. The cancellation protection also covers illness.

When booking by phone, the following applies:
The cancellation protection is automatically applied to your invoice by the receptionist.

If you don't want the cancellation protection, proceed as follows:

  • For bank transfers, you must deduct the price of the Cancellation Protection if you do not want it.
  • When paying via online payment link, you must contact us by phone if you do not want the cancellation protection.

When booking online, the following applies:
You must choose whether you want the cancellation protection.

Price:
The cancellation protection costs dkk 425,- per booked unit and must be booked at the same time as the stay. After payment, the Cancellation Protection can no longer be ordered/cancelled.

How you are covered by our Cancellation Protection

In the event of illness, the following applies:
In cases where a booking includes several units (caravan/tent/camper, cabin, hotel apartment or
beach villa), cancellation only applies to the unit that the ill person was to occupy.

The cancellation protection covers until 12:00 noon on the day of arrival. The full amount (less the price of the Cancellation Protection) will be returned upon submission of documentation in the form of a medical certificate.

If it is NOT due to illness, the following applies:
More than 60 days prior to arrival:
Cancellation more than 60 days prior to arrival will result in a return of the full amount less an administration fee of dkk 500,- The price of the Cancellation Protection is non-refundable.

60-30 days prior to arrival:
Cancellation of the stay will result in the return of 50% of the paid amount. The price of the Cancellation Protection is non-refundable.

29-0 days prior to arrival:
Cancellation of stay is non-refundable.

During your stay:
In case of acute illness, accident or death in the immediate family, make sure you are covered by your private travel insurance. Our Cancellation Protection does NOT cover if you have to interrupt your stay.

Right of cancellation and refund

Please note that your booking is not covered by the Consumer Contracts Act's rules on the right of cancellation. The sale of accommodation (cabins, holiday homes, camping etc.) is covered by a special exemption provision in the Consumer Contracts Act prgf 18 (2) no 12. The booking made is thus not covered by a 14-day right of cancellation.

Dogs

Dogs are welcome at the campsite and in our cabins and beach villas, but they are not allowed in the beds and furniture. Dogs are NOT allowed in hotel apartments. There is a separate charge for bringing dogs. If a dog is brought into our cabins or beach villas without prepayment, a cleaning fee of DKK 750,- will be charged.

The rental price includes

  • Free admission to the waterpark once a day for all guests.
  • Free entry to the trampoline centre, playland and playgrounds for all guests - as often as you like.
  • Free entrance to the wellness centre once a day for all guests over 16 years staying in cabins, hotel apartments and beach villas.
  • Free entrance to the wellness centre for camping guests over the age of 16 during selected periods. See more information here.

Arrival and departure

Hotel and beach villa

Arrival from 16:00. Departure no later than 11:00 am
Extra bed and 2 towels per person are included in the price.

Cabins

Arrival from 16:00. Departure no later than 10.00 am
Up to 4 people are accommodated in all cabins. For more than 4 people, linen packs are available at reception on arrival. The price includes 2 towels per person.

Camping & caravanning

The pitch can be expected to be ready at 14:00 and must be vacated by 12:00.
Pitches with private shower can be expected to be ready at 15.00 and must be vacated by 10.00
Specific pitches cannot be guaranteed, but we will of course endeavour to fulfil your wishes.

Hvidbjerg Strand Feriepark accepts no responsibility for the guest's ability to use the holiday home. If you as a guest are cut off from the possibility of transport to and from the holiday park (e.g. due to cancelled flights/train departures, car problems, traffic conditions, border closures, etc.), you will not be compensated for this.

Water park, wellness, play hall and trampoline centre on arrival and departure days

For guests in cabins, beach villas and hotels, the following applies:

The facilities can be used from 12:00 on the day of arrival and until 15:00 on the day of departure.

For guests with caravans, tents and motorhomes, the following applies:

On the day of arrival, the facilities can be used immediately after check-in. On the day of departure, the facilities can be used until 12:00

Smoking in the holiday park

All cabins, hotel and beach villas are non-smoking. This also applies to e-cigarettes. If this is violated, a cleaning fee of dkk 1.500,- is payable.

Smoking in the holiday park in general: Be considerate in outdoor common areas and remember that cigarette butts belong in the rubbish bin. Smoking is not allowed in indoor common areas. This also applies to e-cigarettes.

The guest's responsibility

Renters of cabins, beach villas and hotel apartments are fully liable for the inventory in the rental unit. Defects and damage caused by the tenant are settled upon departure. The person who signed the lease is also liable for damages caused by other residents and guests in the rental unit. Cabins, beach villas and hotel apartments may be occupied by a maximum of the number of people stated in the price list. Persons over the age of 18 must be present during the entire stay.

Cancellation of events

If an event is completely cancelled, you have the right to get your ticket refunded or exchanged for another day.

Hygiene conditions, including COVID-19 and more.

Due to hygiene reasons, there may be facilities with limited access during your stay. There may be areas that are temporarily closed or areas/facilities that will be closed for the duration of your stay. This will not give rise to a refund of part or all of your stay.

Should one of our 3 main activities (wellness, waterpark, trampoline centre/playground) be closed by the authorities for a longer period due to hygiene, COVID-19 etc., we will offer a discount on the booked stay or a voucher for the amount paid.

Complaints

At Hvidbjerg Strand Feriepark we will do everything to make your stay special. However, mistakes will always occur and if there are things you as guests are dissatisfied with, you must contact the reception as soon as possible. If a rental unit is inadequately cleaned or if there is damage in the rental unit that we have overlooked, you must contact reception immediately upon arrival (within 2 hours) to have the defect rectified. Complaints about, for example, cleaning that are only made upon departure will not be processed.

Hvidbjerg Strand Feriepark cannot be held responsible for the presence of animals and insects, as the holiday park is located in a natural area.

Please note that Hvidbjerg Strand Holiday Park is located close to a military training area, which means that noise pollution may occur.

If you wish to make a complaint after you have returned home, you can write to us no later than 7 days after departure at the email address info@hvidbjerg.dk

In case of disagreement, any legal proceedings shall be brought before the Court in Esbjerg and cases shall be decided according to Danish law.

If you are unhappy with the holiday you have purchased, you can read about your complaint options here.

If you are dissatisfied with your holiday, you should first and foremost contact us. If a solution cannot be found, you can submit a complaint to the Danish Competition and Consumer Authority's Complaints Resolution Centre, Carl Jacobsens Vej 35, 2500 Valby, via www.forbrug.dk.

Data protection

Hvidbjerg Strand Feriepark is the data controller in accordance with data protection legislation. Any enquiries regarding data protection must be addressed in writing to DPO@hvidbjerg.dk

Hvidbjerg Strand Feriepark processes the personal data provided by the tenant in connection with the booking because it is necessary in order to fulfil the booking and thereby also fulfil the rental agreement, as well as to comply with any other obligations under the agreements entered into between Hvidbjerg Strand Feriepark and the tenant.

As a tenant, you have the right to object to the processing of your personal data for these purposes at any time.

Hvidbjerg Strand Feriepark discloses, to the extent necessary, relevant information contained in this agreement to business partners (ex. cleaning company, credit card company, insurance companies and public authorities) in order to fulfil the rental, to collect correct and secure payment or to the extent necessary in accordance with the legislation in force at any time.

Hvidbjerg Strand Feriepark only transfers personal data to countries outside the EU/EEA to the extent necessary and only where there are appropriate guarantees for an adequate level of protection in accordance with the legislation in force at any given time.
Personal data is only stored for the period necessary for the relevant purpose or in accordance with applicable legislation.

Hvidbjerg Strand Feriepark receives email addresses from Facebook, which are collected with the users' consent through adverts so that they can receive newsletters. The information is only used in connection with sending newsletters in MailChimp and consent can always be withdrawn by unsubscribing from the newsletter via a link in the newsletter.

As a data subject, the lessee has the right to be informed of - and receive a copy of - the data that Hvidbjerg Strand Feriepark has registered and to have such information/data corrected or changed if it proves to be incorrect. The lessee also has the right to have information/data deleted if it is no longer necessary to fulfil the purpose for which it was collected or if the processing is illegal. Finally, the lessee has the right to request Hvidbjerg Strand Feriepark to restrict the processing of the data in question.

Hvidbjerg Strand Feriepark uses server-side cookies and a secure connection to ensure the security of the information you as a guest provide on our website.

When paying by credit card, registration is done via a secure server where the information is encrypted before being sent over the internet.

Prices and discounts

Prices at Hvidbjerg Strand Feriepark are adjusted regularly and the current prices can be found on our website. We reserve the right to cancel a rental agreement due to typing and/or printing errors. Discounts cannot be combined.

Force Majeure and similar conditions

If fulfilment of the rental agreement is not possible - or is significantly impeded - due to force majeure or comparable circumstances, including but not limited to: War, riots, natural disasters, oil and petrol rationing, pollution disasters, epidemics, pandemics, suspension of currency trading, unusual weather conditions, drought, floods, border closures, traffic conditions, strikes, lockouts and the like, which could not have been foreseen when the rental agreement was entered into, Hvidbjerg Strand Feriepark is entitled to cancel the rental agreement as Hvidbjerg Strand Feriepark cannot be held responsible in said cases.

In such cases, Hvidbjerg Strand Feriepark is obliged to notify the lessee as soon as possible. The lessee is not entitled to a refund of paid amounts. However, the lessee will receive a credit note for the amount paid. The voucher can be used to purchase a new stay within a 3-year period.
